VetGeni Privacy Policy
This policy explains how VetGeni handles account, workflow, messaging, and support data across the public site and platform.
What information we collect
VetGeni may collect account information such as name, email address, organization details, and technical usage information needed to operate the service.
Depending on the workflow, users may also provide or generate recordings, transcripts, documents, case information, feedback, and client-communication content.
Billing information is processed through Stripe and is governed by the Stripe Privacy Policy. Messaging workflows may involve Twilio for delivery and related compliance support.
How we use information
We use information to provide and improve VetGeni, support documentation workflows, manage subscriptions, respond to support requests, and maintain service security and reliability.
Information may also be used to monitor product quality, investigate issues, and improve future workflows, features, and onboarding experiences.
Messaging and communication data
If you use PawText or other messaging-related workflows, mobile phone numbers and message content may be processed for care-related communication delivery and compliance.
Mobile opt-in information is not shared with third parties for their marketing purposes. Messaging data is handled according to the operational needs of the service and the applicable provider relationship.
Browser extensions and PIMS connectors
VetGeni offers optional browser extensions ("PIMS connectors," including the ezyVet, DaySmart Vet, Pulse, and Shepherd connectors) that a user installs to move information between their practice-information-management system (PIMS) and their own VetGeni account. These connectors run only on the connected PIMS site and on VetGeni, and they act only when the user clicks a control in the VetGeni panel.
To perform the actions the user requests, a connector may read appointment and schedule details and open patient records from the PIMS — which can include patient information and the client or owner's name — as well as the clinical note content (such as SOAP notes and discharge summaries) that the user chooses to import or insert. A connector may also read note text the user has copied to the clipboard, but only at the moment the user clicks Insert. This information is used solely to import scheduled patients into VetGeni and to place reviewed notes into the PIMS at the user's direction.
The connectors rely on the user's existing signed-in PIMS session to act on their behalf. They do not collect, store, or transmit PIMS passwords or login credentials. Information passed between the PIMS tab and the VetGeni tab is held in the browser's local extension storage on the user's own device.
Information handled by the connectors is not sold or transferred to third parties outside the uses described here, is not used for any purpose unrelated to the connector's single purpose of moving notes and schedules between the PIMS and VetGeni, and is not used to determine creditworthiness or for lending purposes. VetGeni is an independent product and is not affiliated with or endorsed by the PIMS providers it connects to; product names are used only to describe compatibility.
Third-party providers
VetGeni works with third-party providers to support billing, messaging, infrastructure, analytics, and certain AI-powered features.
Examples include Stripe for billing, Twilio for messaging, and OpenAI-powered services for some AI-assisted workflows. Their services are governed by their own policies and terms in addition to VetGeni policies.
Retention and deletion
Retention varies based on the type of data, the workflow involved, legal obligations, and operational needs. Some account-related or billing records may need to be retained longer than general workflow data.
If you want data removed, use the Data Deletion page or contact VetGeni with a privacy-related request.
Security and user responsibility
VetGeni uses reasonable administrative and technical measures to protect information, but no internet-based service can guarantee absolute security.
Users are responsible for reviewing outputs, managing access to their accounts, and avoiding unnecessary submission of information in places where it does not belong.
Policy updates
When this Privacy Policy changes, the effective date on this page will be updated. Continued use of VetGeni after that date means the updated policy applies.
